Concur FAQ

General

How many Uber for Business dashboard can you link to Concur?

Only one instance of Concur can be connected to one instance of Uber for Business. If a customer has multiple Uber for business accounts, they will need to have multiple Concur app accounts and vice versa.

How often does the employee roster update?

  1. When Employee sync is initially set up, the first sync is triggered immediately. But the changes can take some time to reflect on the Uber for Business dashboard. This varies based on the number of employees on the account.
  2. After the initial sync, the concur roster sync happens 4 times a day, i.e approximately every 6 hours.

Do Groups and Policies work with Concur Employee Roster Sync

  1. Concur roster sync does not impact Groups and Policies. Once a Group is set up, the employees assigned will remain in that group. Any new employees will be added to a default group.
  2. When you turn on the Roster Sync integration all new users will be added to the default group. If you need to move users to custom groups, you should export the list, update the group field, then re-upload using the business dashboard. Users will be moved to the appropriate group. However, you’ll need to move any users who are added later to their respective group.

WWhat happens if we turn on the Concur integration for an existing account - (ie the company just got concur)?

If you are turning on the roster automation, your employee roster on Concur app will start syncing with your Uber for Business account. This would also send invites to all employees in your Concur app roster who are not already on your Uber for business account. Any active employee who takes trip on the business profile linked to your organization and pays for the trip, the e-receipt for the same would start flowing into the employee’s Concur expense account automatically.

If I turn on Roster Sync for an existing client, will it resend invitations?

No, connecting Roster Sync will only add net new users to the account.

Can I still use the Concur app without using Roster Sync?

Yes, while Roster Syc is recommended, it is still possible to use the Concur app without Roster Sync. Once the admin has turned on the E-Receipt integration then they can directly navigate to the dashboard and upload a custom list via CSV or via other integrations like SFTP to manage the employee roster.

If the employee has paid a tip for their Uber ride / meal, how will it reflect in their receipt?

  1. If the tip is added with the order or within 11 hours of the trip completion, then both tip and the order are batched together. Therefore, there is only 1 transaction and hence only one receipt on Concur which has order + tip amount.
  2. If the tip is added after 11 hours of the trip completion, then the tip is paid in a separate transaction and hence there are 2 receipts on Concur.

We only use Concur travel but not Concur expense, can they still use Roster Sync?

Yes, the Concur app integration process will remain the same and you can leverage it for roster sync, but e-receipts will not be sent as Concur expense is not being used by your organization.

Can I use another mechanism for Roster sync, what are my options?

You can leverage SFTP , SCIM or Employee management APIs to manage employee lists.

How do I know which tip links to what trip?

The trip and tip will share the same 5 digit receipt ID

Can I blacklist or whitelist employees from certain email domains only for roster sync?

Yes, you can enable domain restriction for your organization within Settings section of your dashboard and whitelist the unrestricted email domains only
