Setup & Configuration

1. How many Uber for Business dashboards can you link to Concur?

With a parent-level Concur integration, you can enable both receipt forwarding and employee roster sync for linked child dashboards under your parent organization. This central setup lets you manage integrations in one place while ensuring consistent configurations across all linked dashboards.

2. How do I enable Concur for the parent organization?

To enable integration:

  • Open your Uber for Business parent dashboard, click the Profile icon in the top-right corner, and select Integrations.
  • Connect your SAP Concur administrative account to Uber for Business and complete the linking process.
  • Once connected, choose your parent organization and select which features to enable:
    • Receipt Forwarding - automatically enabled for child organizations using decentralized billing.
    • Employee Roster Sync - optional and requires accepting data-sharing permissions between Concur and Uber for Business.

After permissions are granted, the system begins syncing your Concur employee roster. You can then select which child organizations to include and apply filters to control which employees are synced. Once setup is complete, the integration status updates to Enabled, showing how many child organizations have active roster sync.

3. What’s the difference between parent-level and child-level integration?

The parent-level integration connects SAP Concur once at the Uber for Business parent dashboard eliminating the need for separate integrations at the child level.

4. Do I need admin access in both Uber for Business and SAP Concur?

Yes. To set up or manage integrations, you must:

  • Be an Uber for Business parent dashboard admin to enable and configure features.
  • Have administrator access in SAP Concur to authorize the integration and approve data-sharing permissions.

5. Can I connect multiple Concur accounts to Uber for Business?

Each parent organization can connect to only one SAP Concur account. If your company uses multiple Concur instances, you can link them to separate parent or standalone dashboards, or connect child dashboards directly if that setup works better for your structure.

Sync Functionality

1. How often does employee roster sync run?

Once enabled, roster sync runs automatically on a daily schedule (4 times daily) to ensure employee data stays up to date.

2. Can I preview how many employees will be synced?

Yes. Once you select your filters and organizations, the system automatically displays the number of employees that match your criteria before you start syncing.

3. What happens if I change filters after syncing?

If you edit filters or organization selections, the next scheduled sync will automatically update to reflect your latest configuration adding or removing employees as needed.

4. Can I pause or temporarily disable roster sync?

Yes. You can pause roster sync anytime without removing the integration. Go to Profile > Integrations > Edit settings, and disable Employee Roster Sync. The connection remains intact, but no new data will sync until re-enabled.

5. What is the difference between “Sync only” and “Sync and invite”?

  • Sync only: Imports employees into Uber for Business but does not send invitations. You can send invites later from the People page.
  • Sync and invite: Imports employees and automatically sends invitations to the filtered employees for the selected dashboards.

6. How can I enable Concur employee roster sync for only certain child organizations?

After enabling roster sync, use the organization dropdown to select only the child dashboards you want included. You can then apply up to three filters to define which employees from your Concur roster are synced to each. Once saved, only the selected organizations will receive roster updates.

Data Sharing & Permissions

1. What permissions are required to enable roster sync?

2. Can I revoke data-sharing permission for phone number later?

Yes. Permission for sharing phone number can be revoked from the Uber for Business dashboard by clicking on “Edit Permissions”. Once revoked, Uber will stop syncing phone number immediately until permissions are regranted.

3. What data is shared for receipt forwarding?

For clients who enable only the e-receipt integration without roster synchronization, Uber acts purely as a data forwarding service. The only data accessed during the process is the Concur User_ID, which is used solely to confirm the employee’s active status within Concur before forwarding the receipt.

Troubleshooting

1. Why are some employees not appearing after sync?

Employees may not sync if:

  • Their Concur profiles are missing required fields (like name or email).
  • They do not match the filters you applied.
  • They belong to an organization not selected for sync.

2. Can I re-enable the integration without losing previous syncs?

Yes. When you re-enable Concur integration, it resumes syncing using your last saved settings. All previously synced data and configurations remain intact.

Feature Behavior

1. How does the Concur integration appear in child dashboards?

For all child organizations connected via parent-level integration:

  • The Concur integration card shows as Enabled and Read-only.
  • Receipt forwarding appears as active only for decentralized billing orgs. This ensures configuration remains controlled at the parent level.

2. Can employees be assigned to groups through Concur employee roster sync?

Not yet. The current integration does not support automatic group assignments. Uber is working with SAP Concur to add this capability in a future release.

3. What happens to child dashboards if the parent disables the integration?

If the parent dashboard disables the Concur integration, all linked child dashboards lose access to Concur features immediately. Their integration card will switch to Disabled until the integration is re-enabled.

4. Can I distribute the Concur roster across multiple dashboards?

Yes. You can segment your roster using Concur attributes so that only relevant employees are synced to each dashboard rather than the entire company roster.

5. Can I set different filter criteria for each dashboard?

Yes. Each child dashboard can have its own filtering logic set by the parent admin.

6. How can I control whether new people are automatically invited to linked child dashboards?

You can turn Auto Invite ON or OFF at any time by going to Settings → Invitations in your Uber for Business dashboard for linked child orgs. This lets you decide whether newly added people are invited automatically or only when you choose to send an invite manually.
